Optime Booker becomes widely adopted to effectively manage NHS Trust Estate

Following a successful resource planning and relocation project where CNWL / QTS engaged EventMAP to advise and model various resource usage solutions, the Trust identified the need to have a more extensive room and desk management capability across corporate and clinical estate users.

With teams working across a large geographically diverse area - from Kent to Milton Keynes, and 5 boroughs across London and greater London, it was essential that the solution was web accessible, scalable, and easy to use.

In late 2019 we engaged with EventMAP to use their Booker room and desk management solution across a selection of Trust estate, including HQ, Argo House, and Northwick Park sites. EventMAP engaged with Trust teams, including Education, OCS (cleaning service provider), and the Recovery and Wellbeing College.

EventMAP mobilised and configured the solution quickly, allowing teams to adapt new approach. Gillian Stafford, Managing Director for Quality Trusted Solutions (QTS) LLP* said: "The Booker software is easy to use from any of our locations and it gives us a highly reliable space management system, across both our clinical and non-clinical workspaces. With Covid 19 in 2020, EventMAP worked at speed with teams at the Trust HQ (QTS, Human Resources, Organisational Development and the Executive team) to extend use of Booker to encompass desk management (socially distanced of course!).

The initial 'return to work' planning, further reinforced the need to adopt 'new ways of working' which has been further supported by the Booker capability to facilitate devolved management for room and desk booking to both clinical service teams across the Trust on a rolling basis and with teams in all areas engaging to work with QTS and EventMAP to adopt the Booker room and desk booking toolset for their needs.
