Cambridgeshire County Council Purchases Optime Booker to Manage Resources

Cambridgeshire County Council have purchased Optime Booker for use across shared facilities following their move from their main Shire Hall base.

There was a need to review their room booking provision to ensure maximum efficiency for the future. They previously managed bookable resources in Microsoft Outlook, but this method lacked the flexibility and efficiency they required. One issue they recognised was the ability to free up space that was booked for longer than required. For example: if a room was previously booked for an hour, but the meeting only lasted 20 minutes, unless the organiser had access to their laptop and cancelled the room booking upon leaving the room, the room would have remained unavailable to other staff. They needed a solution that would provide the flexibility to ensure ease of access and maximum efficiency.

The situation was further complicated as they had implemented a wide range of shared IT services with Peterborough City Council (PCC) including a shared Outlook tenancy. So, the chosen solution would need to allow for booking of CCC rooms through Booker, and PCC rooms through their own alternative solution.

It was determined that part of the solution was to procure a system that also incorporated interactive door display panels. The aim of using Room Panel Displays, was to improve visibility of available space, thereby improving space utilisation, and to facilitate a quick booking method by allowing users to walk up, book and use rooms.
