EventMAP User Day 2025 was held on June 11th at Cavendish Square, London

The EventMAP User Day 2025 was held on June 11th at Cavendish Square, London. An enjoyable day was had by all in attendance.

Following guest registration and light refreshments, things kicked off at 10am with Dr Barry McCollum giving an overview of the day, the purpose for the day, and a peek at EventMAP’s vision for the future.

Following the introduction delegates were treated to a series of talks delivered by key EventMAP personnel as well as client contributors, who shared insights to their experiences of working with the EventMAP team.

Jo Wilson undertook a review of the groundbreaking work being undertaken at University of Cambridge. She discussed the challenges the sector is facing in this 21st Century, and the role gathering qualitative and quantitative data plays in the accurate analysis of the condition and usage of the built estate, and how it is informing the decision making at Cambridge.

EventMAP’s CTO, Dr Paul McMullan covered Optime’s product development both current, and development objectives, identified for the future. This section covered subjects such as application interoperability and integration to 3rd party applications. A theme throughout the presentation, and indeed the whole day was the emphasis on collaboration between the EventMAP development team, and our client end-users. There was also a sneak peek at our vision for ways to deepen the use of AI to further empower application users.

JP Lane, Client Executive Director, discussed the implementation process in terms of transition and transformation. From solution acquisition to go live, and how EventMAP strives to ensure a speedy and successful pathway to go live, with the aim of ensuring that the chosen client Optime Application begins delivering benefits from the get-go.

Iain Cleary from the University of Bedfordshire presented a user case study detailing their transition to Optime from their legacy system. Despite the condensed time period for the implementation Ian highlighted the ethos of partnership that embodied not only the university’s approach but that of EventMAP. This approach lies at the core of how EventMAP strive to work.

Cora Kwiatkowski, from Architect Stride Treglown, examined some of the challenges facing the education sector such as managing student expectations, estate running costs, suitability of buildings, net zero targets and fragmentation of estate. Cora emphasised the role of accurate data needed to understand current use, and then progress an organisation to a more sustainable future based on that accurate information.

Gill Stafford, Managing Director at Quality Trusted Solutions LLP (QTS), a wholly owned subsidiary of Central and North West NHS Trust (CNWL), spoke about the challenges currently facing the NHS. The considerable uncertainty these challenges are generating is driving innovation in the sector. The EventMAP/QTS collaboration has been key in developing Optime ERIC, an application for collating and reporting estates data. Gill emphasised the savings in time spent submitting the returns using ERIC, as well as the wealth of data it generates informing management decisions which cannot be overstated.

Paul Wilkinson, SLaM. Paul discussed how he was pulled in to help update the way Outpatient Services at South London and Maudsley NHS Trust (SLaM). He detailed the significant challenges that were facing Outpatient Service. Paul explained how the collaboration with EventMAP in product design and implementation improved space utilisation and the patient experience. SLaM were able to double their use of consulting rooms and patient appointments. Paul made a direct correlation between patient waiting lists and space utilisation.

In the final presentation Chris White, Associate Technical Director at EventMAP gave an overview of an exciting application Optime Estate, which will revolutionise estate and strategic planning through analysis and modelling of estate using advanced algorithms. It is about scenario planning using AI tools.
